Somewhere in your office, probably in a cupboard or a rack nobody looks at, sits a small box with a row of blinking lights and a dozen cable ports. That is your network switch, and it is doing more work for your business than almost any other piece of hardware you have never thought about.
Here is what it actually does, how it is different from a router, and how to tell when the one you have is no longer enough.
A switch connects your devices to each other
A network switch's job is to connect devices within your office, so your computers, printers, Wi-Fi access points, and IP phones can all talk to each other over a wired local network. When your laptop sends a file to a colleague's shared folder, or a print job travels from a desktop to the office printer, that traffic passes through the switch, which reads the destination and sends the data directly to the right device rather than broadcasting it to every port and creating unnecessary traffic.
This is different from what a router does. A router connects your entire office network to the outside world, the internet, deciding how traffic gets from your business to a website or cloud service and back. Put simply: the switch builds and manages your internal network; the router connects that network to everything else. A small home setup can run on just a router, because there are few devices and low traffic. An office running twenty, fifty, or a hundred devices needs a switch to handle the internal traffic efficiently, with the router handling only the traffic that actually needs to leave the building.
Unmanaged, smart, and managed switches
Switches come in three practical tiers, and the difference is not raw speed, it is control.
An unmanaged switch is plug-and-play. It has no configuration options: connect a cable, it works. This is fine for a very small office or a single department with straightforward needs, but it gives your IT provider zero visibility or control if something goes wrong.
A smart switch sits in between. It offers a simplified web interface for basic configuration, VLANs (separating traffic into logical groups, for example keeping guest Wi-Fi traffic separate from your internal systems), and some monitoring, without the steep learning curve of full command-line management. For a lean internal IT setup or a growing SME, this is often the practical sweet spot.
A fully managed switch gives complete control: detailed VLAN configuration, Quality of Service settings that prioritise voice or video traffic over routine file transfers, SNMP monitoring integration with the same tools your MSP uses for remote monitoring and management, and granular port-level security. This is close to the minimum standard for a corporate office of meaningful size, and it is what a managed IT provider will typically insist on if they are responsible for your network's reliability.
What Power over Ethernet (PoE) actually solves
Many modern switches support PoE, which delivers electrical power to connected devices through the same cable that carries data. This means a Wi-Fi access point, an IP security camera, or a desk phone mounted on a wall or ceiling does not need a separate power outlet run to it, only a single network cable. For a Singapore office fitting out a new space, this is a genuine cost and complexity saver, because running electrical wiring to a ceiling-mounted access point is a real construction cost that PoE simply avoids. If your business is planning Wi-Fi access points, IP cameras, or VoIP phones, confirming PoE support and capacity on your switch is worth checking before the project starts, not after.
Signs your switch setup has been outgrown
A handful of specific symptoms tend to indicate a business has outgrown its current switch, whatever brand or age it happens to be. Network performance noticeably slows when multiple people are on video calls or transferring large files at the same time, because an older or lower-capacity switch cannot handle the combined load. Your IT provider says they cannot see what is happening on your network when troubleshooting an issue, because an unmanaged switch offers no visibility. You are adding Wi-Fi access points, cameras, or VoIP phones and running out of available ports or PoE power budget. Or you have had a security incident and realised your network had no segmentation between departments, so an infected machine in one team could reach systems in another.
None of these mean an emergency purchase. They mean it is worth a proper conversation about what your office actually needs, ideally as part of a wider structured cabling plan rather than a switch bought in isolation.
What We Typically See in Practice
In our experience working with Singapore businesses across education, aviation, and maritime, the most common pattern we see is a switch bought years ago, sized for a much smaller team, that nobody has revisited as the business grew.
We also see businesses treat networking hardware as an afterthought to an office fit-out, choosing whatever the cabling contractor happens to supply, rather than specifying it based on actual device count, PoE needs, and growth plans.
What clients typically ask us when this comes up is whether they really need a "managed" switch if their team is small. The honest answer is that the value of a managed switch is not really about team size, it is about how much your business depends on the network working reliably and how much visibility your IT provider needs to keep it that way.
