The most common IT mistake in a Singapore office relocation is treating the network as an afterthought. Internet installation from a Singapore ISP requires a minimum of four weeks lead time — longer if the new building needs a new fibre run from the street. Structured cabling cannot be done while renovation is still in progress, then completed in a weekend before move-in. And a server rack cannot be carried by your removals company.
These are not edge cases. They are the standard pattern when a relocation goes wrong. A business that starts IT planning three weeks before the move date will spend the first two weeks in the new office managing a network that does not work properly.
This is a six-phase guide to planning your IT office relocation properly, with lead times, cost ranges, and the specific mistakes that cause day-one failures.
Why IT Relocations Fail in Singapore
The failure pattern is almost always the same. The business signs a new lease, spends three months with the interior designer, and calls the IT team in at week ten. By then:
- The ISP installation queue is six weeks out
- The cabling contractor cannot get a slot because the renovation is still running
- There is no time to test the network before move day
- The server room has no dedicated cooling because nobody specified it during the fit-out
The result is a Monday morning where staff cannot connect to anything, the MD is asking questions, and the IT team is running Cat6 cables under desks in a brand new office.
Starting IT planning four to six months before the move date is not over-engineering. It is the minimum to avoid a broken first week.
Phase 1 — Site Assessment and IT Design (4–6 Months Out)
The first thing your IT team or IT partner needs to do is visit the new space. Not to measure desks. To answer these questions:
Cabling infrastructure: Is there existing structured cabling? What category — Cat5e, Cat6, Cat6A? Is there a comms room or server room already, or does one need to be built? Where are the riser positions and how do they connect to the building MDF?
Server room requirements: Does the space include a dedicated room? Does it have dedicated power (separate circuit from the main office, ideally with a UPS feed)? Is there air conditioning that runs independently of the main office HVAC — because the server room will need cooling at night and on weekends.
Wi-Fi planning: Where are the meeting rooms, open seating areas, collaboration zones, and high-density areas? Wi-Fi coverage is planned on a floor plan, not guessed at. Access point positions need to be agreed before cabling starts.
Renovation timing: When is cabling installation possible? It needs to happen before false ceilings are installed and before walls are painted. If you miss that window, cable runs become significantly more expensive.
Decisions to make at this stage:
- Keep existing equipment or use the move as a refresh opportunity?
- Same ISP or new contract? (New contract = new installation = longer lead time)
- Is this a cloud migration opportunity, or does the server follow you to the new location?
Document everything from the site visit. The output of Phase 1 is a network design: IP plan, VLAN structure, Wi-Fi coverage plan, switch locations, firewall placement, server room layout, and cable run map.
Phase 2 — Procurement and Ordering (2–3 Months Out)
Internet: Call your ISP now. Business fibre installation in Singapore takes a minimum of four weeks. If the building needs a new duct run from the riser, add two to four more weeks. If you are switching providers, the new circuit needs to be ordered and installed before you cancel the old one — run them in parallel for a handover period.
For most Singapore SMEs with 30–100 staff, a 1Gbps business fibre line (SGD 80–200/month) is sufficient. Add a 4G/5G failover router (SGD 50–120/month) for redundancy — the cost is low and it eliminates the risk of a full-office outage if the primary circuit has an issue on day one.
Hardware: If you are refreshing network equipment as part of the move, order now. Lead times for Cisco, Aruba, Fortinet, and enterprise Netgear can be two to six weeks depending on stock. Custom-configured firewalls take longer.
Cabling contractor: Book your structured cabling installation slot. Cat6A is the recommended standard for new installations — it supports 10GbE and is future-proof for at least a decade. Get a fixed-price quote that includes testing and Fluke certification reports on every run.
Server relocation (if applicable): Book a professional IT relocation service, not the general removals company. Servers need anti-static handling, proper padding, and transport in an upright position. The removals company will lay the rack on its side in a truck.
Phase 3 — New Site Installation (4–6 Weeks Out)
Installation happens in stages, in this order:
1. Comms room fitout first. Rack installed, patch panels mounted, power distribution unit fitted, UPS connected. The rack is the spine of everything else.
2. Structured cabling. Runs from the rack to every workpoint, ceiling AP position, printer location, and meeting room screen. Ceiling runs go in before false ceilings close. All runs tested and certified.
3. Active equipment installed and configured. Switches, firewall, wireless controller, and access points. Pre-configure everything in the office or in a lab environment where possible — the goal is to arrive at the new site with equipment that is 80% configured and just needs final IP addressing and testing.
4. Internet circuit live. ISP activates the circuit. Firewall configured for the new IP range. Remote access (VPN or Zero Trust) tested from outside the building.
5. Server room operational. If a server is moving, it arrives after everything else is working. Do not bring the server in until the network is confirmed functional.
What should be fully live and tested before move day: internet, switching, Wi-Fi, firewall, server (if applicable), remote access, printers, meeting room AV connectivity.
Phase 4 — Parallel Testing (2 Weeks Out)
The golden rule: test everything before the move, not after.
Run through this list at the new site before anyone moves in:
- VPN connectivity from a remote device to the new IP range
- Microsoft 365 / Google Workspace access from the new network
- Internal file share access (if applicable)
- Printer connectivity from at least one test device
- Meeting room screen casting and video conferencing
- CCTV and door access control (if managed by IT)
- Backup jobs pointing to new server location or updated cloud config
- DNS resolution for internal names
- Wi-Fi performance in meeting rooms under load (not just signal strength — test with actual video calls)
- UPS runtime — run a test discharge to confirm battery health
Document every issue found and fix it before move day. The list will never be empty, but it should be short.
Phase 5 — Move Weekend
What IT needs to supervise on move day:
Server transport is the highest-risk item. If a server is moving: IT supervises the disconnection, labelling of cables, packing, transport, and reconnection. The removals company moves the boxes, not the rack.
Network point labelling: every desk needs to be assigned to a network point before staff arrive. If the floor plan changed between design and move, update the labelling before the move, not after.
Day-one priority list. Not everything needs to work perfectly by Monday morning — but this list does:
- Internet working
- Authentication working (Active Directory / Entra ID / Google login)
- File access
- Microsoft 365 or Google Workspace
- Phones and video conferencing in at least the main meeting room
- Remote access for any staff who are not coming in on day one
Have at least one engineer on-site for the full first day. Issues that look small on Friday become serious on Monday if nobody is there to fix them.
Phase 6 — Post-Move Stabilisation (First 2 Weeks)
The first two weeks will surface everything that testing did not catch. Common post-move issues:
- DHCP address conflicts (device brings old IP from old office)
- Cabling errors — a run that tested fine but is physically connected to the wrong patch panel port
- Wi-Fi dead zones not visible in the design (partition walls with dense material, AV equipment causing interference)
- Printers that need IP address updates
- Backup jobs that stopped because the path changed
Document as-built. Once the dust settles, update the asset register, IP plan, VLAN diagram, patch panel labelling, and Wi-Fi AP positions with what actually exists in the new office — not what was designed. As-built documentation is what saves the next engineer hours of investigation.
Update monitoring. If you have remote monitoring, update it with the new IP ranges, new device hostnames, and new alert thresholds.
