Before You Start: The Planning Conversation

A new office IT setup begins with four questions that determine almost everything else:

How many staff now, and in two years? Overbuilding for hypothetical future headcount wastes money. Underbuilding forces expensive redesigns. Plan for 18–24 months of growth, not current headcount alone.

What applications do your staff run? Cloud-first teams (Microsoft 365, Google Workspace, SaaS tools, video calls) have different infrastructure requirements than businesses running on-premise servers, local databases, or latency-sensitive applications.

What are your compliance requirements? Financial services businesses under MAS TRM, healthcare organisations, and businesses handling regulated data may need specific network segmentation, logging, and access controls.

Is this a fresh start or a migration? If equipment is coming from a previous office, assess condition and age before assuming it moves. An office move is often the right time for a refresh.


Layer 1 — Internet and Connectivity

The most time-sensitive item in the entire setup. Order this first, before anything else.

Business fibre installation from Singapore ISPs (Singtel, StarHub, M1, MyRepublic, ViewQwest) takes a minimum of four weeks from order to live circuit. If the building requires a new fibre run from the street or from the building riser, add two to four additional weeks. Missing the installation date means operating without internet from day one.

What to decide:

  • Which ISP? For most Singapore offices, the difference between providers is primarily price and support SLA. ViewQwest is known for business-grade SLAs; Singtel and StarHub have broader enterprise support infrastructure.
  • What speed? For most offices of 20–80 staff running cloud applications, 1Gbps fibre is sufficient. The bottleneck is rarely the internet circuit — it is usually Wi-Fi or internal network configuration.
  • Do you need a static IP? Yes, if you are running on-premise servers, VPN endpoints, or any service that external parties connect to.
  • Should you have a failover connection? A 4G/5G router as a backup connection costs SGD 30–80/month and eliminates single-point internet failure. Recommended for any business where internet outage means operations stop.

Cost planning:

  • Business fibre (1Gbps): SGD 80–200/month depending on provider and SLA
  • 4G/5G failover router: SGD 150–500 hardware + SGD 30–80/month SIM plan
  • Static IP: Included with most business fibre plans or SGD 10–20/month add-on

Layer 2 — Structured Cabling

The layer most often installed wrong and most expensive to redo.

Structured cabling must happen before false ceilings are installed and before walls are finished. If you miss this window, cable runs require surface mounting or chasing through finished walls — both more expensive and less tidy.

What to specify:

  • Cat6A is the current standard for new Singapore office installations. It supports 10GbE over the full 100-metre run and is ready for PoE++ (for powered access points, cameras, and desk phones). Do not install Cat5e or Cat6 in a new office — the incremental cost difference is small and Cat6A future-proofs the installation for at least a decade.
  • Every workpoint should have at least two RJ45 ports — one for the device and one spare for a secondary device, IP phone, or docking station.
  • Access point positions need to be cabled during this phase, not added later. Plan AP locations from the floor plan before cabling starts.
  • Server room (if applicable): provision multiple Cat6A runs and fibre for backbone connections.

Always request Fluke DTX certification reports on every cable run from your contractor. This is a test of each run against the TIA-568 standard. Without certification, you have no warranty on the installation. Reputable contractors provide this as standard.

Cost planning:

  • Cat6A installation including termination, testing, and certification: SGD 60–150 per workpoint depending on run length and complexity
  • 50-workpoint office: SGD 8,000–20,000
  • Comms room / server room fitout (rack, patch panel, cable management): SGD 3,000–8,000

Layer 3 — Network Switching

The backbone of internal connectivity.

For 20–80 staff, you need managed switches that support VLANs, PoE for access points and cameras, and enough port capacity for current devices plus growth.

What to decide:

  • Consumer vs business-grade switches: Do not install consumer-grade switches in a production office. Business-grade managed switches (Cisco Catalyst, HP Aruba, Ubiquiti UniFi, Netgear ProSAFE) support monitoring, VLAN configuration, and proper troubleshooting. Consumer switches do not.
  • Port count: Count every device that will connect — workstations, laptops at desks, printers, access points, IP cameras, meeting room devices, servers. Add 20–30% headroom for growth. Underspecifying port count is a common mistake.
  • PoE budget: Access points, IP cameras, and some desk phones draw power over the network cable. Check the PoE budget of your chosen switch against the number of PoE devices you plan to connect.
  • 10G uplinks: If you have servers, NAS, or storage systems on the network, 10G uplinks between switches and from the switch to your servers are worth specifying.
  • VLANs to plan: Staff network, guest Wi-Fi, servers, printers, CCTV, IoT devices. Separating these reduces broadcast traffic and improves security segmentation.

Cost planning:

  • 24-port managed PoE switch (business-grade): SGD 600–2,500 depending on brand and PoE budget
  • Core and access switching for 50-person office: SGD 3,000–12,000

Layer 4 — Firewall and Security

The controlled boundary between your office and the internet.

A firewall for a Singapore business office does more than basic packet filtering. It should handle intrusion prevention, application visibility, VPN (for remote access), and content filtering — with active security subscriptions that are kept current.

What to decide:

  • Throughput after security inspection: Many firewalls are rated at headline throughput (e.g., 3Gbps) without security features enabled. Real-world throughput with IPS, application control, and SSL inspection enabled is often 30–60% of the headline figure. Size the firewall for its inspected throughput, not its marketing figure.
  • Remote access: If staff work from home or remotely, your firewall needs to support a VPN or Zero Trust Network Access solution. Plan this at purchase, not as an afterthought.
  • Security subscriptions: Fortinet, Palo Alto, Sophos, SonicWall, and Cisco Firepower all sell firewalls with subscription-based threat intelligence and signature updates. The appliance without an active subscription is a box, not a firewall. Budget for annual renewals.
  • High availability: For a business where a firewall failure means operations stop, a HA pair (active/passive) eliminates single-point failure. For smaller offices, not always necessary — depends on criticality of uptime.

Cost planning:

  • Business firewall (Fortinet FortiGate, Sophos, SonicWall) for 30–80 users: SGD 2,000–10,000 hardware
  • Annual security subscription: SGD 500–3,000/year depending on appliance and features
  • Configuration and commissioning: included in IT project cost

Layer 5 — Business Wi-Fi

The layer where most cheap setups fail first.

Wi-Fi problems in Singapore offices are almost never about coverage. They are about density — too many devices and video calls sharing the same radio capacity from too few access points.

What to decide:

  • Cloud-managed vs controller-based vs standalone: Cloud-managed Wi-Fi (Aruba Central, Cisco Meraki, Ubiquiti UniFi Cloud) gives you visibility into client health, signal quality, and usage from anywhere. More useful for multi-site businesses or IT teams that manage remotely.
  • Number of access points: Plan for one AP per 15–25 concurrent users in standard open-plan environments. Meeting rooms need individual attention — a single dense meeting room with 10 people on video calls will saturate a shared AP. High-density areas (collaboration zones, cafeterias) need dedicated coverage design.
  • AP placement: Ceiling-mounted is almost always better than wall-mounted for coverage pattern and density management.
  • Wi-Fi 6 (802.11ax): Current standard for new installations. Better capacity in dense environments, more efficient spectrum use. Wi-Fi 7 equipment is available but not yet cost-justified for most SMEs.
  • Guest Wi-Fi segregation: Guest SSID must be on a separate VLAN from your corporate network. This is a security requirement, not optional.

Layer 6 — Servers, Storage, and Cloud Workloads

This is the highest-variance layer — because the right answer ranges from "you do not need a server" to "you need a virtualisation cluster with off-site backup."

For cloud-first businesses (Microsoft 365 / Google Workspace, SaaS applications, no local file server): You may not need a physical server at all. A firewall, switching, and Wi-Fi are sufficient for the office network. Cloud handles files, email, and applications.

For businesses with on-premise requirements (local file server, internal application, SQL database, ERP system, or large file storage): You need at least one server. Common configurations:

  • Single server with virtualisation (Hyper-V, VMware): SGD 8,000–25,000 for a business-grade server with adequate RAM and local storage
  • NAS (network attached storage) for file sharing: SGD 2,000–8,000 for business-grade units (Synology, QNAP)

  • How are they managed? Microsoft Intune or Jamf (macOS) for device management — allows remote wipe, policy enforcement, software deployment, and compliance checking.

Layer 8 — Ongoing Support and Monitoring
